editSuite Help - How do I use the Email module? *** This post and feature is only applicable for users who created a liveBooks account before 08.06.2015

The email management module is used to create or delete email addresses and email alias addresses (sometimes called forwarding addresses). If your website package comes with email service you will find this module under the "Resources" tab in your editSuite.

You will be able to use this module if your site is live and you are using the liveBooks hosted email service. (You had us set up email for you during the go live process.)

Use this module to manage the email addresses for your primary domain name and email alias addresses for any domain alias you might have. (Domain aliases are additional domains you have pointed to our name servers for the same site.)

If you have more than one domain name pointing at the site, you will see a drop down menu where you can select the domain name you want to manage email for. The primary domain name will always be the first option on the list.

You can only create mailboxes for the primary domain name. For domain aliases you can create email aliases.

ADDING A NEW EMAIL ADDRESS

  • Select primary domain name. (It will be selected automatically if you don't have any domain aliases).
  • Click on the Add Email Address button.
  • In the Email address to create field enter the name you want for this email address. This email name is whatever comes before the “@” sign in the email address.

To create a mailbox (an email box that you can use to both send & receive from) select the first option:

  • Create a mailbox for this address.
  • Enter a password, and confirm the password in the next boxes. (Email passwords must be from 8-20 characters long, contain at least one number, one special character, one uppercase letter, one lower case letter and cannot match your account login name or email address.)
  • Click the save button.
  • The mailbox is created.

Please note that you have an address limit. Once you reach this limit you will not be able to add any more mailboxes, but you will be able additional email aliases (forwarding addresses) for your domain names.

To purchase additional email mailboxes for your domain, please contact the Support Team

ADDING A NEW EMAIL ALIAS

  • Select the domain you want to create an email alias address for.
  • Click on the Add Email Address button.
  • In the Email address to create field enter the name you want for this email address. This email name is whatever comes before the “@” sign in the email address.

To create an email alias select the second option:

  • Create an alias that will redirect your email.
  • Be sure that you have entered the email address in the Email address to create box.
  • Enter the email address you wish all emails to be forwarded to. This must be an existing email address. Separate multiple addresses with commas.

EDITING AN EMAIL ACCOUNT OR EMAIL ALIAS

To edit a mailbox or email alias address, mouse over the list of existing email addresses and click on the "Edit" button.

For a mailbox you can update the password.

For an email alias you can update the destination mailbox(es).

Click “save” when you finish making changes.

DELETING AN EMAIL ACCOUNT

If you want to remove a mailbox or email alias you need to mouse over the list of existing email addresses and click the "Remove" button

***Removing a mailbox will delete all the emails stored in that mailbox. We cannot restore deleted email addresses or email messages for you if you delete without backing up your email.

For this reason we always recommend backing-up any emails you need before deleting a mailbox. Please see this forum post for information on how to back up your emails.

A warning will appear asking you to confirm you want to delete the email address. If you backed up your emails click "Ok" and the mailbox will be deleted. If you need to back up any emails you should select cancel and backup your email mailbox contents before deleting.

DELETING AN EMAIL ALIAS

Removing an email alias does not require any back up because email aliases do not store emails, they forward them to other mailboxes.

A warning will appear asking you for confirmation. Click "Ok" and the email alias will be removed.

CHECKING YOUR EMAIL

There are two ways to access your email:

  • Over the internet - Web Mail (web-based email like yahoo, hotmail, etc.)

Your Web Mail address is:

http://webmail.yourdomainname.com
(replace “yourdomainname.com” with your own domain name)

  • Using an email application. Both POP and IMAP settings are available here.
